Position Summary (Maternity Leave Coverage)

Reporting to the Director of Professional Practice, the Professional Practice Program Administrator will provide administrative support for all activities related to the Quality Assurance and Practice Advisory Service, including maintenance of the program components and coordination of the professional practice workshops. 
Full-Time Position
Please note that the duration of this position will be 15 months to cover maternity leave, starting in March 2022. This is a full-time position working from a home office until the College resumes hybrid on-site operations in the Toronto office. Duties include:
Quality Assurance
  • Assist in the ongoing revision of the Quality Assurance (QA) Program components
  • Consult with QA team members and keep them informed of issues related to QA Program Components
  • Assist in preparing data reports related to QA Program Components
  • Assist in the development and implementation of key components of the QA Programs
  • Prepare correspondence, documents, meeting materials and reports, and assist with meeting preparation, as needed
Practice Advisory Service
  • Support in maintaining and updating database documentation
  • Send e-mails on behalf of the Practice Advisory Service
  • Assist in preparing correspondence, documents, meeting materials and reports, and assist with meeting preparation
  • Manage all aspects of professional practice in-person workshops, virtual workshops, and webinars.
Committee Support
  • Provide administrative support to the Quality Assurance Committee (QAC) and the Professional Practice Committee (PPC)
  • Assist in coordinating and preparing notices, agendas, and materials for the QAC & PPC meetings
  • Attend all PPC and QAC meetings
  • Recording, preparing, circulating, and maintaining minutes of both the QAC and PPC
  • Support the Executive & General Office Administrative Assistant in the preparation and clean-up of Council Meetings as assigned by the Director of Professional Practice
  • Assist in maintaining confidentiality and security of records
  • Update and maintain database information, including member records
  • Assist in tracking receipt and completion of Quality Assurance program components by members
  • Assist in handling member administrative requests/inquiries related to Practice Advisory Service and QA Program
Internal & External Relations
  • Assist in sending general communications to the members and specific information as required
  • Assist in responding to inquiries from members, the public and other parties or refers the calls to appropriate staff
  • Communicate with members covering a variety of requests regarding the Quality Assurance Program & the Practice Advisory Service
Project Leadership
  • Assist with or lead projects assigned by the Director of Professional Practice  


  • Post-secondary degree or diploma preferred
  • Minimum of 2 – 3 years experience providing administrative support
  • Ability to work collaboratively with a team of dedicated staff
  • Ability to show good judgement and maintain confidentiality
  • Can demonstrate adaptability, flexibility, and ability to build and maintain relationships
  • Ability to manage multiple tasks and work in a fast-paced environment
  • Strong organizational skills and the ability to take the initiative and work independently
  • Clear, accurate interpersonal and communication skills, both orally and in writing
  • Ability to keep calm under pressure and deal pleasantly and professionally with people from a variety of backgrounds
  • Excellent customer service and ability to resolve problems diplomatically
  • Intermediate knowledge of word processing formats and operations to type reports and maintain files – MS office (Word, Excel, Outlook, Teams), databases, Zoom
  • Candidates need to demonstrate their ability to infuse previous administration work experience 

Compensation & Benefits

Salary range:  $45,000 - $50,000 per annum commensurate with experience and benefits.  We currently offer work from home (hardware technology is provided) until the College implements a hybrid work arrangement.
