The College of Dietitians of Ontario (the “College) is the regulatory body established by the provincial government to regulate the practice of over 4,500 dietitians in Ontario in the interest of the public and public safety. The College ensures that registered dietitians in Ontario provide safe, ethical, and competent care, and are accountable for maintaining the standards of professional practice.

The College is operating on a remote-first/hybrid model with required in-office days for collaboration in our downtown Toronto office.

Position Summary

Reporting to the Director of Professional Practice, the Quality and Practice Program Administrator supports the operations of the Professional Practice team and the College’s Quality Assurance (QA) Program and related professional practice initiatives. The Administrator helps deliver key program activities, supports QA committee work, assists registrants in meeting program requirements, and manages the digital tools that support program operations. The role is central to maintaining efficient, organized, and responsive program delivery in alignment with regulatory requirements and the College’s public protection mandate.

The ideal candidate is detail-oriented, organized, and able to manage multiple priorities. They bring strong communication and technical skills, are comfortable using databases and digital platforms, and are committed to service excellence.  Duties include:

Quality Assurance

  • Collaborate with professional practice team members to identify and address issues related to program components
  • Assist in tracking receipt and completion of Quality Assurance program components by registrants
  • Prepare, track, and analyze data reports related to QA activities and registrant engagement
  • Manage logistics for in-person and virtual QA learning sessions, including peer-to-peer learning, workshops, webinars, and peer assessments—handling scheduling and Zoom facilitation
  • Track and maintain accurate registrant records related to program participation in registrant database (iMIS)
  • Prepare and distribute registrant communications through platforms
  • Contribute to the development and maintenance of assessment tools, learning content and program components
  • Draft correspondence, reports, and documentation in support of QA program operations

Practice Advisory Service

  • Assist in preparing and distributing correspondence (including registrant communications), documents, meeting materials and reports, and assist with meeting preparation
  • Manage administrative aspects of professional practice in-person workshops, virtual workshops and webinars
  • Support in maintaining and updating database documentation related to practice advisory correspondence

Committee Support

  • Provide administrative and logistical support to the Quality Assurance Committee (QAC) and the Professional Practice Committee (PPC)
  • Coordinate and prepare meeting notices, agendas, and materials for pre- and post QAC and PPC meetings
  • Record, prepare, circulate, and maintain accurate minutes of all committee meetings

Administration

  • Assist in maintaining the accuracy, timeliness, confidentiality and security of records
  • Update and maintain database information, including registrant records
  • Maintain confidentiality and ensure the secure handling of sensitive registrant information
  • Assist in handling department registrant administrative requests/inquiries
  • Assist in gathering and analyzing data to support evaluation and continuous improvement
  • Monitor and maintain program websites, including checking for broken links, performing routine checks, and identifying edits as needed
  • Develop and manage surveys using online tools and support the learning online management systems
  • Provide back-up support to the Executive & Corporate Services Assistant as assigned by the Director of Professional Practice

Internal & External Relations

  • Assist in distributing general and targeted communications to the registrants, as required
  • Monitor email folders and assist in responding to inquiries from registrants, the public and other parties or refer to the appropriate staff
  • Communicate with registrants covering a variety of requests regarding the Quality Assurance Program & the Practice Advisory Service
  • Support program management of consultants, assessors, and advisors by coordinating tasks such as good standing checks, processing expense reimbursements, tracking timesheets and attendance, and following up on meeting scheduling and reminders

Project Assistance

  • Assist with projects assigned by the Director of Professional Practice

Other

  • Coordinate & host virtual meetings
  • Any other duties that may be assigned

Preferred Experience and Competencies

  • Minimum of 3 years’ experience providing administrative support, preferably in a regulatory, healthcare, or professional environment
  • Experience supporting multiple departments in a hybrid (remote/in-person) work setting
  • Strong administrative, organizational, and project coordination skills with keen attention to detail
  • Excellent time management skills with the ability to manage competing priorities and meet deadlines under pressure
  • Strong written and verbal communication skills, including experience drafting correspondence, reports, and meeting minutes
  • High level of accuracy, discretion, and ability to maintain confidentiality when handling sensitive information
  • Proficient in Microsoft Office (Word, Excel, Outlook), Zoom, SharePoint, and registrant database platforms (e.g., iMIS)
  • Experience using digital tools such as Mailchimp, SimpleSurvey, document management systems, and learning management systems (e.g., Vocalmeet)
  • Comfortable taking and transcribing accurate meeting minutes
  • Client-focused with strong interpersonal and problem-solving skills; able to work both independently and collaboratively
  • Knowledge of the College’s Quality Assurance Program and committee operations is an asset
  • Database experience and French language proficiency are considered strong assets

Compensation

Starting salary range $55,000 commensurate with experience, plus full benefits.
